Job Title 3: Events
Coordinator
Qualification: MBA or Masters in
applicable
Desired Experience: Minimum 2 – 3 years
Responsibilities include:
Banquets
·
Undertake research to identify the most prestigious venues and
negotiate the most favourable terms and conditions.
·
Prepare proposals for management review,
approval and co-ordinate all
activities from initial stage until the day of the function and
ensure all arrangements are catered for
· Source relevant speakers and ensure all their requirements and
arrangements necessary for the Events.
· Create PowerPoint presentations for screening during the function
and ensure marketing material is prepared and available for each
event
· Update clients regularly on arrangements and ensure their
requirements are catered
timely
for such as accommodation and travel
· Attend banquets, meet and greet clients and monitor activities
throughout the evening to ensure all arrangements are catered for
Post Event
· Ensure acknowledgements are sent to clients
· Monitor the quality and success of each event, obtain feedback
from clients and relevant sources, analyze
the results and provide senior managers with results and
recommendations
Administration
· Complete all administration activities pre and post event
including invitations and correspondence and all relevant written
material
· Assist the Client Events team with administration and
co-ordinating activities
·
Ensure Corporate communications
has access to client information for promotional campaigns
· Arrange marketing briefs for each programme
· Proof read documentation to ensure accuracy
· Process Events documentation and use the company’s in house system for recording orders’
· Track all sales activity and update analysts on any relevant
deliverables and take care of special requests from sales team
members, managers and analysts
The ideal candidate will possess:
· At least 2 years experience in a similar role
· A
degree in Marketing or applicable qualification.
· Ability to build relationships with clients, internal and external
contact with an ability to work under pressure and to strict
deadlines
· Strong administrative and organisational skills with excellent
verbal and written communication skills
· A
high attention to detail with excellent proof reading skills
· Competent knowledge of the Computer
